How to remove a variation option from hundreds of Etsy listings at once
· 4 min read
Discontinued a color, finish, or size? Etsy makes you remove it one listing at a time. Here's how to delete it from every listing in one pass with a variations spreadsheet, and when to disable it instead.
Every shop eventually retires an option. A finish you can’t source any more, a size nobody buys, a color the supplier discontinued. On one listing, removing it takes a minute in Etsy’s listing editor. Across 500 listings, it means opening each listing, scrolling to variations, deleting the option, checking prices and quantities still line up, and saving, 500 times.
Etsy has no “remove this option everywhere” button. This post shows how to do it in one pass with a variations spreadsheet, and when you should hide the option instead of deleting it.
First decide: delete it or disable it?
You have two ways to take an option off sale, and they behave differently.
Disabling keeps the combination on the listing but stops buyers choosing it. It’s the right choice if the option might come back, such as a seasonal color or something temporarily out of stock. On the Variations page, filter to the option, then use Bulk Actions → Disable combinations. Nothing is removed from Etsy, and you can enable it again the same way. See enabling or disabling combinations in bulk for the details.
Deleting removes the combination from the listing’s inventory on Etsy. Etsy replaces a listing’s whole list of products whenever its inventory is updated, so anything left out of that list is gone, not hidden. It no longer appears on the listing, in Etsy’s listing data, or in tools that read your inventory from Etsy. Choose this when the option is permanently discontinued and you want your listings and any connected systems clean.
The rest of this post covers deleting.
Deleting an option from every listing
This uses the variations CSV in Everlyst’s Import & Export page, available on the Growth and Pro plans.
1. Export your variations
Open Import & Export and, under Get a spreadsheet, choose Export variations. You get one row for every option combination across your shop. Each row holds the listing ID, the listing title, up to two property names and values, SKU, price, quantity, and whether the combination is enabled. Disabled combinations are included too, so nothing is missing from the picture.
Each row also carries a hidden reference column, _evl_ref. Leave it alone. It’s how Everlyst matches each row back to the exact offering it came from, even after you sort or filter the sheet. Why that matters.
2. Filter for the option you’re removing
Open the file in Google Sheets, Excel, or any spreadsheet. Filter the property_1_value and property_2_value columns for the option you’re retiring, for example Painted One Color. Check both columns, because the same option can be the first property on some listings and the second on others.
3. Delete those rows
Delete every matching row, then clear the filter and save the file as CSV.
Remove the option for every combination it’s part of. Say a listing offers Finish × Size. Etsy requires the remaining grid to be complete, so if you remove “Painted One Color”, remove it in every size, not just some. If a listing ends up with gaps, Everlyst flags it with a “missing required option combinations” error and leaves that listing unchanged. The other listings in the file still go through.
4. Upload the file and check the preview
Drop the edited file into Bring one back on the same page. Everlyst checks every row against your live shop before anything reaches Etsy. The preview shows how many offerings will be edited, added, and deleted.
Only listings in the file are processed. A listing whose rows you deleted entirely is treated as “not in this upload” and left alone, which leads to the first limit below.
If anything changed on Etsy since you exported, such as a price edited in Etsy directly, those rows show as conflicts. You can tick Let the CSV win conflicts to overwrite them with your sheet, or export again for a fresh copy.
5. Confirm the deletions and apply
Because deleting is destructive, Everlyst won’t apply the file until you tick Confirm offering deletions. Then apply. Large files are sent to Etsy in batches of up to 250 listings, and a single import can cover up to 950 listings. Progress and results for each listing appear as the job runs.
The job is recorded in Backup & Restore. Supported jobs keep a snapshot of the values they replaced, so you can review what changed and roll back eligible listings within your plan’s retention window.
What this can’t do
- Remove an option from a listing that has nothing else left. If every row of a listing is the option you’re retiring, deleting them all leaves that listing out of the upload, so nothing changes. A listing has to keep at least one combination. Deactivate or edit that listing on its own instead.
- Remove a whole variation property. Deleting rows removes option values, not the property itself. Changing a listing from Finish × Size to Size only is a structural change you’d make per listing.
- Edit three-property listings. Listings with three variation properties are left out of the variations CSV, and the export tells you how many were excluded. Use the Variations page editor for those.
A faster check before you start
Before exporting, open the Variations page, search the group picker for the option’s name, and turn on Active listings only. You’ll see every group that still uses the option on a live listing, and how many listings that covers. That gives you a number to compare against the import preview before you confirm.
